There is little confusion about who owns each customer or which version of the file is current.
Excel and Google Sheets can be perfectly reasonable ways to track customers when the process is still small and manual. The problem begins when the spreadsheet stops being a simple list and quietly becomes the operating system for leads, follow-ups, customer history, sales stages and team coordination.
A spreadsheet is excellent at flexible rows, columns, formulas, sorting and ad-hoc analysis. A CRM organizes customer records around relationships: who the customer is, what happened, where the lead or opportunity stands, who owns the next action, and what needs to happen next.

Once the customer information is centralized, the question changes from “Where is the customer record?” to “What should the system do with it?”
Do not start by recreating every spreadsheet field and every old habit. Start with the customer process the business actually needs to operate.
Remove duplicates, identify outdated records and standardize the customer information that matters.
Decide what customer state, pipeline stages, ownership and next actions the business needs.
Move a controlled set of records first and verify that fields, owners, history and workflows behave as expected.
Make the CRM the shared operating record while keeping spreadsheets for analysis or temporary work where they are still useful.
A business leaving spreadsheets may need only better customer records, pipeline visibility and follow-up. Another business may need booking, SMS, calling, dispatch, automation, APIs or AI agents. The right system depends on the operating workflow, not the size of the feature list.

Consider switching when leads are being missed, follow-ups depend on memory, customer information is scattered across tools, several employees need the same context, reporting is difficult, or maintaining the spreadsheet consumes increasing amounts of staff time.
That is common. The important question is why employees keep returning to spreadsheets. The CRM may be missing a workflow, too difficult to update, poorly integrated, or simply not providing the views the team actually needs. Those are adoption and operating-design problems, not necessarily reasons to eliminate spreadsheets.
No. Start with the minimum capabilities required to operate the customer process reliably. Paying for advanced forecasting, marketing or AI features does not help if the immediate problem is simply missed leads and poor follow-up.
Every incoming lead needs a reliable record, an owner or responsible workflow, a clearly defined next action, and a mechanism that detects when that action has not happened. That can begin with a disciplined manual system, but CRM automation becomes increasingly useful as volume and team complexity grow.
It can automate portions of the process, but authority should match the action. AI can often summarize, classify, create tasks, recommend next steps or perform approved routine actions. Higher-impact communications, commitments or exceptions may still require human approval.
